This Privacy Policy describes how Promptifi ("we," "us," "our") collects, uses, and shares information about you when you use promptifi.co and the Promptifi service (the "Service"). We respect your privacy and aim to be transparent about the data we handle.

1. Information We Collect

Information you provide

  • Account data: name, email, password (hashed), and any profile details you add.
  • Billing data: processed by our payment provider (Stripe). We do not store full card numbers.
  • Communications: messages you send us, support tickets, prompt-request submissions, and survey responses.
  • User-generated content: testimonials, feedback, saved prompts, and personalization preferences you choose to store.

Information collected automatically

  • Usage data: pages viewed, prompts opened, features used, session duration, referrer.
  • Device data: IP address, browser type, operating system, device identifiers.
  • Cookies and similar technologies: see Section 3.

2. How We Use Your Data

We use the data we collect to:

  • Provide, maintain, and improve the Service.
  • Authenticate you and secure your account.
  • Process payments and manage subscriptions.
  • Respond to your questions and support requests.
  • Send transactional emails (billing, account notifications) and, if you opt in, marketing emails.
  • Personalize your experience — for example, recommending prompts based on your role or AI tool preferences.
  • Understand usage patterns to improve the product and prioritize new features.
  • Detect, prevent, and respond to fraud, abuse, or security incidents.
  • Comply with legal obligations.

3. Cookies & Similar Technologies

We use cookies and similar technologies to authenticate you, remember your preferences, measure analytics, and support marketing. You can control cookies through your browser settings. If you opt out of analytics or marketing cookies, the Service will still work, but some features and personalization may be reduced.

4. Third-Party Services We Use

We rely on the following processors to operate the Service. Each has its own privacy policy that governs its handling of your data:

  • With processors listed in Section 4, so they can perform services on our behalf under contract.
  • With law enforcement or regulators when required by valid legal process or to protect our rights, users, or the public.
  • In connection with a business transaction such as a merger, acquisition, or sale of assets — in which case we will provide notice before your data becomes subject to a different privacy policy.
  • With your consent, for any other purpose you explicitly approve.

6. Data Security

We use industry-standard safeguards to protect your data, including encryption in transit, access controls, and regular review of security practices by the third-party services we rely on. No method of transmission or storage is perfectly secure — we cannot guarantee absolute security.

7. Your Rights

Depending on where you live, you may have the following rights over your personal data:

  • Access: request a copy of the data we hold about you.
  • Correction: ask us to correct inaccurate or incomplete information.
  • Deletion: ask us to delete your account and associated personal data.
  • Portability: request a machine-readable copy of your data.
  • Objection / Restriction: object to or restrict certain processing.
  • Withdraw consent: where processing relies on consent, you may withdraw it at any time.
  • Opt out of sale/sharing (CCPA): we do not sell your data, but you retain the right to opt out.
  • Non-discrimination: we will not discriminate against you for exercising your rights.

To exercise any of these rights, email privacy@promptifi.co. We will respond within the timeframe required by applicable law (typically 30 days).

8. Data Retention

We retain account data for as long as your account is active and for a reasonable period afterward (up to 24 months) to comply with legal obligations, resolve disputes, and enforce our agreements. You may request deletion at any time per Section 7.

9. International Data Transfers

Promptifi is operated from the United States. If you access the Service from outside the U.S., your data will be transferred to, stored in, and processed in the U.S. Where required (for example, for EU residents), we rely on standard contractual clauses and appropriate safeguards to ensure the transfer complies with applicable law.

10. Children's Privacy

Promptifi is not intended for anyone under the age of 18 and we do not knowingly collect personal data from children. If you believe a child has provided data to us, contact us and we will delete it.

11. Changes to This Policy

We may update this Privacy Policy from time to time. When we do, we will update the "Last updated" date and, for material changes, provide notice via email or an in-product notification. Your continued use of the Service after a change constitutes acceptance.
